Improved Patient Communication – EncounterManager gives you the ability to provide better patient billing communication.  EncounterManager has two types of statements to choose from, standard and detail.  These statements can be sent electronically or printed out in-house.  With customizable standard greetings, aging messages, and personal messages that can be assigned on a patient-by-patient basis, users have total control on what the patients see. 

Balances are itemized by what is expected from the insurance company and what the patients owe with the option of producing a statement only if the insurance company has responded.  All of these options and many more were created in order to accurately communicate the patient’s financial activity while cutting down on callbacks requesting an explanation of their bill. 

You will find that statements created with EncounterManager are professional in appearance informative, detailed, and easy to understand.

Improved Collections – EncounterManager will put the normal billing department concerns at ease by providing detailed and accurate reports.  General reports can be used to identify areas of concern and effectiveness while detailed reports can determine what specific collection actions need to be performed.  At any time you can learn where collection attempts are required for insurance companies and/or patients. 

Insurance Carrier Analysis – Practices can evaluate various insurance companies by analyzing what percent of their practice is with a certain carrier, how the carrier is reimbursing you on certain procedures, number of occurrences, if there was any difference in the payment vs. allowable amount, and more. 

Improved Workflow – EncounterManager will allow you to implement real time check-out.  By entering and saving charges as patients check-out, users will be shown what the patient responsibility is, for example, when there is a co-pay or 80/20 plan in place.  Users will be able to quickly generate a receipt for the patient (including next appointment date) thus eliminating the need for a carbon copy superbill. 

Better Billing – By maintaining the procedure / diagnosis edits in place, practices can ensure accurate coding at charge entry.  Modifier logic will also prompt users should they have not added a modifier when needed.  Warnings are triggered if a referral has expired or exceeded the number of allowed visits. 

Accountability – Added, modified, and deleted user transactions are time and date stamped with the user ID. 

Windows Based – The Windows-base and relational database design enables you to interface with any Microsoft product such as Excel, Word, and Outlook.
